Team Manager Lite
Instructions
Download Team Manager Light using the link on the meet entries page. After it is saved to your computer, double click it to install it. Follow all instructions given.
The meet setup file is available at www.prestonrun.com, click on Meet Entry Information from the left hand menu choices. Then click on Meet Entry Site. From here click on the Event File for the meet you are attending. Follow the instructions for downloading the file to your computer. Remember where you save the file. Once saved to your computer load Team Manager Lite. Upon first use of TM Lite and before importing the meet event file you need to create a database. Call it whatever you want, and on the next screen just make some selections. And click okay. On subsequent uses you will not have to do this. From the Main Menu Bar, click on File then Import then Meet Events. Click on the event file that you downloaded from the Meet Entries Site. And click Open. If you selected a ZIP file, TM Lite will unzip that file into a temporary directory and then ask you to choose from the list of files that were extracted. After this file is imported, go to Meets and you will see that the new meet has been added along with all of the events for that meet.
Click on Teams from the TM Lite Main Menu Bar and then click Add from the Team Browser of click on the Add New team icon.
Enter the basic Team information. Team Code and full Team Name. Enter a unique Team Code that may consist of up to 5 alphanumeric characters. You might want to enter a “Short team name” to be optionally used on some reports.
For Example: Team Code: PRE
Team Name: Preston High School
Short Name: Preston
Please declare your Team Type as “School”
You can enter the other information if you so desire. Click OK to save the team info. Then click on Cancel to exit the team info window. To return to the main window click on the yellow folder with an up arrow on it.
Click on Athletes from the Main Menu Bar and then click on Add from the Athlete Browser or click on the Add New Athlete icon.
You need to provide the following information about the athlete: Name, Gender, Team and school year. Do not worry about the other info it asks for just those 4 main ones
Click on the OK button to save the information that you have entered about this athlete. Repeat this process to add all the members of your team. Click on the Cancel Button when you are finished.
To return to the main window click on the yellow folder with an up arrow on it.
Click on Meets from the Main Menu Bar and then click on the Entries from the Main Menu Bar and choose Entry By Event. Next Enter the Team for which these entries apply.
Pick an event and TM Lite will list all of the eligible athletes for that event. For Cross Country it helps out if you enter the athletes in both the Varsity and the JV race. This will save coaches time and the scorers time of making last minute changes on race day of moving a runner form varsity to jv or vice versa. You can make this change and not have to let the scorers know. They will know when the runners cross the finish line based on the athlete number. To enter an individual into an event check the box ENTRD on their name. To enter all athletes in the event click the Enter All button(best suggestion) that way you will not miss an athlete. Do this for all four events.
To return to the main window click on the yellow folder with an up arrow on it.
From the TM Lite Main Menu Bar click on File the Export then Meet Entries. An Export Entries window appears and asks where you want to save the file. Choose a place you can remember. Then click OK.
When you click OK, TM Lite will build the ZIP export file. This ZIP file has the following naming convention
TTTTT-Entriesxxx.ZIP
Where TTTTT is the team abbreviation and the xxx is the sequential number of the file.
For example. PRE-Entries001.zip
Click on Cancel to return to main window.
After you have exported your entries, click on Reports and then Export/Import File Report and follow the menu prompts to review exactly what information you exported to the file. This is a great way to check and verify meet entries you are sending to the meet host. This report should match the standard Meet Entry Report that you have built, but it’s a good idea to check it.
Attach the event file to an email to phsrun@hotmail.com before the entry deadline. When we receive your file we will import it and your team will be entered into the meet.
